How do you organize aircraft records shared by co-owners?

For an aircraft shared by several owners and pilots, what has worked best for recording flight time, discrepancies, fuel and maintenance documents without creating duplicate versions? Please share the workflow that keeps everyone informed while limiting access to sensitive information.
